Business Central E-Documents

Since the beginning of the year, companies have been obliged to send and receive e-documents as part of the Growth Opportunities Act. Dynamics 365 Business Central was also recently equipped with corresponding functionalities for this purpose, which have been expanded again with the latest version.

The latest Business Central release once again makes sending and receiving e-documents more flexible and easier. Several new features have been introduced for this purpose.

Send e-documents either via a service or by email

Dynamics 365 Business Central makes it quick and easy to share documents and information. The preferred method for sending documents when posting can also be defined via document sending profiles – for example by email or as an electronic document via a service used. This process has now been made even more flexible. As a result, documents can now be sent either directly by email or as an electronic document. Previously, e-documents could only be sent either via a connector service or the file could be downloaded and sent by email.

If the “Post” action is selected on the “Sales Order”, “Sales Invoice” or “Sales Credit Memo” pages, Business Central posts the document as usual, but it can also trigger a workflow to create an e-document. To do this, a corresponding workflow must have been configured for the customer. If “Post and Send” is selected, Business Central proceeds in the same way, but also sends the e-document by e-mail as an attachment.

Create e-receipts from posted sales invoices

Sometimes problems occur when posting sales documents and Business Central does not create e-documents for them. From now on, new e-documents can be generated from the posted documents. To check whether Business Central has created an e-document, the “Posted Sales Invoice” page must be opened and the “Open E-Document” action executed. If no associated e-document can be found, it can be generated via the “Create New E-Document” action based on the workflow rules. If a corresponding e-document already exists, the action cannot be used.

Export reminders and finance charges as e-documents

Business Central supports the sending of electronic documents in PEPPOL format, a widely used format that is supported by the largest document exchange service providers. With the current version, additional document types have been added to the list of documents that support export in PEPPOL format.

Previously, it was not possible to create e-documents for reminders and finance charges. The PEPPOL format now also accepts financial values from issued finance charges and issued reminders.

To activate these document types, the “Supported Document Types” action must be executed on the “E-Document Service” page and the finance charge and reminder document types must be added to the “E-Document Service Supported Source Document Types” page of the e-document service. Business Central can now create a file in invoice format that contains the financial values from these documents.
